Informed Consent URBANITE (European Union’s Horizon 2020 Programme - SC6-TRANSFORMATIONS-2019 Project N° 870338) - Participation in the Urbanite Forum
This informed consent sheet explains the further processing of your data and information provided in the research process and documents your rights.
Acceptance
Accessing and using the URBANITE Forum you accept to take part in URBANITE research project since in order to carry out the outcomes of the project we need to collect the opinion and information provided by different stakeholders among which you are.
Description of the Project
In recent years, with the population and size of cities increasing exponentially, transportation has become even more important. The need for more efficient mobility solutions has been met with a variety of new concepts like sharing vehicles, electric scooters for rent, and even disruptive start-ups like Uber or Cabify, which are causing a stir with previously used models. However, such new models are putting public administrations in a challenging situation.
The EU-funded URBANITE project (funded from the European Union's Horizon 2020 research and innovation programme under grant agreement # 870338) aims to develop a solution that collects and analyses data, that combined with AI, can assist public administrations in policy-related decisions concerning urban transformation caused by these new transportation and business models. URBANITE focuses also on social aspects, by analyzing stakeholders’ trust in technologies aiding decision-making.
The service "URBANITE Forum" is provided within the “URBANITE” project. The project team is composed by the following entities:

Your participation
The use and participation on the Urbanite Forum is voluntary and if you agree to take part in the project, you will be asked to agree with this participant’s consent according to GDPR Article 6.1.a. As a volunteer, you can stop your participation at any time. This agreement enters into force as soon as you use the service for the first time and then remains in force until the end of URBANITE project (see section “Use of Service”) or until you decide to delete your account. If you wish to terminate this agreement and your account on URBANITE Forum, you have just to delete your account; stored information such as name, nickname, mail, password will be also removed from the database and platform, whereas opinions and comments will be anonimised.
URBANITE Forum
The URBANITE Forum provides a thoughtful space where the trust of the society and public servants in technologies can be analysed and the early outcomes of the project discussed with the main actors of the new urban mobility scenario: citizens, service providers, public servants and policy makers.
Kind of Data collected
The application collects the following information: name, nickname, mail, password and opinion as you participate in different debates and blogs.
Use of service
The service URBANITE Forum allows you to create a profile, share contents, participate in online discussions, present proposals, vote on proposals, and engage and interact with other users.
To use the URBANITE Forum, you need to sign up first. By signing into the service, you agree that proposals and comments submitted by you may be published under your name, and text written by you may be edited or deleted by moderators, if it is deemed to be abusive or inappropriate.
Your personal data is not disclosed to external parties or used for other purposes than the usage of the URBANITE Forum service itself and for the purposes of the URBANITE project.
You have to assure that no one else can access your account using your credentials
You have to keep the password strictly confidential.
URBANITE Forum processes your personal data. Using this service, you give your consent for processing your data within the scope of the URBANITE project.
URBANITE Forum will be kept accessible for the entire duration of the URBANITE project (that at the moment is by 31st March 2023).
At the end of the URBANITE project, the service URBANITE Forum will cease, and all the data will be deleted.
Terms of use
Your access to URBANITE Forum services entails that you have read, understood, and agreed these terms and conditions. Accessing or using any service of the URBANITE Forum also means that you have the legal authority to accept its Terms on behalf of yourself and of any party you represent. If you do not agree to the Terms, you are not authorized to use any of the Services provided by the URBANITE Forum.
All users have the full responsibility for their own writings and for the contents they provide.
It is not permitted to use URBANITE Forum for any illegal purpose or in violation of any local, national or international law. In any case, any abuse will remain under the direct responsibility of the user.
The messages sent to the service must observe good manners of discussion and be relevant to the topic of the discussion. Inappropriate or unlawful messages and text will be deleted. Examples of inappropriate or unlawful messages are those that:
- Include user’s personal information.
- Violate the privacy of third party, for example by distributing its personal data without permission
- Harass third parties with repeated and unwanted communications.
- Post or transmit content that is harmful, offensive, obscene, abusive, invasive of privacy, hateful, discriminatory, defamatory, false or misleading.
- Include swearing or vulgar language.
- Make identifiable oneself or any other party.
Comments and contents are not checked in advance before they become public. You can report an inappropriate message by using the Flag symbol.
URBANITE Forum’s moderators and/or administrators have the rights to delete reported comments and/or contents that violates the terms of use.
Data Breach
The consortium will do its best to protect people's information (or privacy), despite everything mistakes can happen. We appreciate it if you contact us as soon as possible, in case you detect a security problem, we'll solve it in the shortest time and with the least possible damage.
Supervision
URBANITE appointed an Ethics and Data Protection Manager for the project. You can contact him at privacy@urbanite-project.eu. He will gladly answer all your questions on Data Protection and the Ethics Code applied in the URBANITE project.
Data Controller
The data controllers for the URBANITE Forum are TECNALIA Research and Innovation with C.I.F. G48975767 and address in Parque Científico y Tecnológico de Gipuzkoa, Mikeletegi Pasalekua 2, 20009 Donostia – San Sebastián (Gipuzkoa) (Spain) and STICHTING WAAG SOCIETY Innovation with registered with the Chamber of Commerce under number 41214445 and address in Nieuwmarkt 4, 1012 CR, Amsterdam (Netherlands), that must guarantee the security in the treatment of these under the provisions of the General Data Protection Regulation (GDPR). The Urbanite Forum deployment and exploitation implies the participation of data processors, also partners of the consortium.
Your rights
You are always free to not answer a specific question or leave without any consequences. If you would like to address a question or an issue, please feel free to do so. Furthermore, you shall have the right to access, to rectify, to erase, to restrict the processing, the right to data portability and the right to object, as granted in GDPR Article 15 -22. You can also withdraw the consent given by agreeing this agreement at any time according to GDPR Article 6(1) without any consequences. Upon request your local supervisory authority will provide you information on exercising your right according to Article 57(e) GDPR.
Usage of your Data
The data shared on the URBANITE Forum will only be used for the activities relating to URBANITE. This includes the processing for research purposes and dissemination activities. Your data will under no circumstances be sold to any third party.
Use of cookies
A cookie is a collection of information, stored on the local computer of a person when uses a web navigator The cookies used are functional and are necessary for the proper functioning of the platform. These cookies do not collect personal information.
The URBANITE Forum uses the following required cookies:
- decidim-cc: Allows to check if the user has accepted the cookies.
- decidim_session: Allows to keep the user session active for a limited time.
Cookies are stored into the user’s device browser. In any case, you can always configure the browser of your device, avoiding the storage of any type of cookies, including functional ones. Consult the specific information of your browser to know how to do it. Please note that this may affect your experience on the website.
Dissemination of Results
The data generated will be used for research purposes and dissemination. This includes publications, and the creation of a report on impact analysis, lessons learned and recommendations for any public administration aiming at using similar disruptive technologies.
Changes to terms
These Terms and Conditions of Use are subject to updates in compliance with legal or regulatory provisions. They can include changes, removals or additions to the Terms.
Any changes to the Terms and Conditions reported will be notified to all registered users and their acceptance will be requested at the first new access to URBANITE Forum.
If you do not want to accept a change or addition, you can terminate the agreement before the date the change takes effect. The use of URBANITE Forum after the date of effect shall constitute your acceptance of the changes to terms and conditions and therefore your agree with those changes.
After having stated these general conditions and rules, we are looking forward to a good cooperation and positive project results. We would like to thank you in advance for your participation in the project.
The access to the URBANITE Forum shall imply your understanding and consent to the conditions and rules stated in this document. Accessing and using the URBANITE Forum you release URBANITE project and any of its associated or affiliated institutions, their directors, officers, agents, employees and customers from all claims of every kind on account of such use.
